Reporting to the Director of Grants and Contracts, the Grants Coordinator will be an integral member of the Grants Team to offer high quality, organized and responsive administrative support.  The Grants Coordinator will prepare invoices for grants and contracts on a monthly basis corresponding with the terms of the award agreements for review by the Grants Officer or Manager.  The Grants Coordinator will monitor and track invoices for timely payment as well as coordinate the retrieval of supporting documentation and receipts for grants financial reports and audits.  Among other qualifications, the ideal candidate shall have: a) minimum of 2 years experience working in a finance, accounting or grants department; b) attention to details; c) proficiency in Microsoft Excel and financial accounting systems; and d) team player with positive attitude.

Responsibilities 
  • Prepare invoices for grants and contracts on a monthly basis corresponding with the terms of the award agreements for review by the Grants Officer or Manager
  • Monitor invoice payments, and follow-up with internal stakeholders and sponsors as required
  • Coordinate the retrieval of supporting documentation and receipts for grants financial reports
  • Assist with closeout of grants and contracts
  • Update Salesforce records for grants deliverables, and conduct regular audits of grant deliverables due on Salesforce to keep Grants Officers and Managers informed of overdue deliverables
  • Assist with retrieval of supporting documentation during project audits
  • Offer support in preparing cost transfers for review by the Grants Officer or Manager
  • Coordinate subaward due diligence records for Grants Officers and Managers review
  • Track payments to and obligation balances for subrecipients.
  • Review Salesforce grants records and Box grant files for completeness and quality control.
  • Serve as liaison between Grants and Finance Teams, including monitoring of grant payments to IPA Accounts Receivables, updating reports monthly, and updating of grant payment records.
  • Perform other duties as assigned.
Qualifications 
  • At least two years’ experience working in a finance, accounting or grants department.
  • Bachelor’s degree in Management, Finance, Business Administration, Economics, Accounting, Project Management or any related field.
  • Good verbal and written communication skills.
  • Attention to details.
  • Team player with a positive attitude and ability to build strong working relationships.
  • Proficiency in MS Excel.
  • Able to work independently, prioritize and see tasks to completion.
  • Excellent organizational skills.
  • Ability to work in a fast-paced environment.
  • Confidentiality.
  • Quick-learner.
  • Experience with Salesforce and NetSuite is a plus/added advantage.
