About the People & Culture team

The People and Culture Global Support team strives to create an organizational culture where talent is nurtured, capabilities are expanded, and retention is a natural outcome of a supportive and dynamic working environment. Our team provides reliable support to the Global Leadership Team and People & Culture staff. Together, we aim to shape a workplace that not only attracts top-tier talent, but also empowers managers to foster team growth and make a lasting impact. 

You will report to and work alongside the Manager of Human Resources to help manage our DC office and support our C-suite leaders. You will collaborate closely with senior team members to manage calendars and travel, initiate improved ways of working, find ways to systematize processes, and help engage our diverse team!  

Key Responsibilities:

Executive Assistant (40%)

  • Proactively manage the calendar and scheduling for the Chief Executive Officer, being an initial point of contact for both internal and external stakeholders. 
  • Arrange domestic and international travel arrangements for the CEO.
  • Manage calendar invites and scheduling for other Evidence Action senior leaders as needed.
  • Complete expense reports for the Global Leadership Team and manage and track D.C. office operations expenditures.
  • Engage with staff on AI options to support the organization in scheduling efficiency; including options to automate scheduling (i.e. calendly). 

Event Planning and Coordination(35%)

  • Support with D.C. office cultural events including weekly, monthly, and special events.
  • Support with social committee to assist in idea generation and execution of events.
  • Secure travel visas for staff in the D.C. office when needed and manage travel for employees relocating to D.C.
  • Plan, manage logistics, and develop long-term partners for events/lodging with vendors for semi-annual leadership conferences.  

DC Office and People Operations (25%)

  • Run daily office management, administrative logistics, and office policies to ensure all staff have the materials, resources, and technology they need.
  • Manage incoming mail, including the processing and hand off of donations and checks to the correct departments.
  • Communicate with the building management team and share announcements from management to staff that impact D.C. employees.
  • Manage, alongside the Global Leadership Team, a recognition tracker for our CEO to help recognize great work by staff around the organization. 

Required Qualifications:

  • You have 3 to 5 years of experience as an executive assistant to multiple C-level executives and senior leaders;
  • Experience and interest in event planning and logistics;
  • Experience managing multiple project deadlines and completing daily tasks with minimal supervision;
  • You are a process-oriented thinker who can identify areas for improvement and offer suggestions as to how to make systems run more smoothly;
  • Experience working across multiple time zones or in an international organization;
  • Proficiency in cloud systems - Evidence Action uses Google Suite and Box;
  • Embrace our values in your work, which includes keeping cost-effectiveness in mind when arranging travel and managing expenses.
